Accounts & access

Manage multiple OpenAI Ads accounts in Advarde

Organize client accounts and workspaces, preserve currency and reporting boundaries, and verify the target before making changes.

Managing multiple advertiser accounts requires clear ownership and selection. A workspace groups people and access, while an advertiser account identifies the platform resources and billing context. Keep those boundaries visible in names, reports, and approvals.

Choose the workspace boundary

Use a workspace structure that matches who should see and manage the accounts. For separate clients, consider the access and reporting boundaries before adding their accounts together. Confirm the roles of operators, reviewers, and read-only stakeholders.

Name account connections clearly and retain the advertiser ID. Two aliases can refer to the same upstream account; they are not two independent sources of spend.

Confirm the selected account at every handoff

Read the account selector before preparing a campaign, conversion setup, report, or automation rule. Include the account name and ID in the brief and review. Ask an assistant to state the selected account before preparing a consequential change.

Do not rely on the last account used in a browser session. A teammate may be reading a different client’s record, and a pasted prompt may omit the intended target.

Keep reporting units compatible

Preserve currency, timezone, date range, and attribution definitions in each report. Do not sum USD and EUR spend into a single unlabeled total. Do not combine account aliases as though they represented separate advertisers.

If a portfolio summary contains different reporting windows or missing data, show those conditions explicitly. Missing values are unknown, not zero performance.

Separate standards from automatic changes

Account standards can record naming, allowed destination domains, campaign tags, and operating conventions. They help identify deviations. A standard does not silently rewrite every existing ad.

Automation policies have their own reviewed permissions and limits. Review them per account and keep a clear stop procedure. Stopping automation stops future automatic activity; pausing live ads is a separate operation.

Offboard without leaving access ambiguous

Remove obsolete workspace memberships and assistant authorizations, review active policies, and rotate advertiser credentials when the upstream access should end. Confirm which party retains account ownership and reporting records.

Test the remaining intended access after changes. A successful offboarding preserves the client’s ability to operate while removing the access that is no longer authorized.
